Supplier Quotation Checklist: What to Confirm Before Ordering from China

A spreadsheet of supplier prices can look complete while the order behind each price remains unclear. One quotation includes packaging, another assumes a different material, and a delivery promise in a chat never reaches the final document. The lowest number may describe a different purchase.

Use this supplier quotation checklist before approving an order. Its purpose is to make the product, price, delivery conditions, and unresolved questions visible in one review. Online research remains useful; the next step is to turn it into requirements the supplier can confirm.

1. Identify The Exact Product Version

Start with a product specification checklist. Record the model, drawing or specification revision, materials, dimensions, tolerances, finish, accessories, and packaging. For electronics, include relevant power, plug, battery, firmware, and language requirements.

Mark each detail as confirmed, provisional, or missing. A product photo cannot answer every specification question. If the category is still being defined, use the product sourcing directory to establish the scope before comparing suppliers.

Tie the quoted version to the sample you will evaluate. If the supplier offers an alternative component or material, ask for a separate description and price rather than allowing an unexplained change inside the same offer.

2. Compare The Same Commercial Scope

Quotation comparison works only when the assumptions match. Put these fields beside each supplier's price:

  • Quantity, MOQ, and any quantity-based price breaks.
  • Currency, quotation validity, and payment stages.
  • Tooling, setup, samples, and other one-time charges.
  • Testing, inspection, accessories, labels, and packaging included.
  • Shipping term, named location, freight responsibility, and exclusions.

Ask what remains an estimate. A unit price may be firm while carton dimensions or freight costs are still provisional. Keep those uncertainties visible instead of treating them as confirmed savings.

3. Clarify When The Delivery Clock Starts

“Production takes four weeks” is incomplete unless the starting condition is clear. Does the clock begin after the deposit, sample approval, artwork approval, material confirmation, or another event?

Separate sampling, production, inspection, shipment readiness, and transport. Ask which dates depend on buyer approvals and who must report a delay. This creates a usable schedule without converting an indicative lead time into a delivery guarantee.

4. Connect Claims To Supporting Documents

Supplier document review should connect the quotation to drawings, sample requirements, test documents, and written answers. Identify which claims have supporting evidence and which still need clarification.

A certification logo does not establish the scope of a report. For model, component, and market-specific questions, follow the separate supplier compliance and certification guide. Keep compliance review distinct from checking whether a quotation is internally complete.

5. Consolidate The Answers Before Approval

Purchase order requirements should not depend on somebody remembering a message from last week. Gather important answers from email, meetings, and chat into a dated review summary. Identify the document version the supplier has confirmed and request written approval for material or specification changes.

A useful summary has four outcomes: confirmed, needs evidence, needs clarification, and needs renegotiation. Give every open item an owner and a decision point. Escalate technical, testing, or legal questions to the appropriate specialist when they fall outside the document review.

Turn Research Into An Order Decision

For product sourcing in China, a China sourcing agent can help organize scattered information and follow up on inconsistent answers. A China sourcing company should explain the review scope and deliver a usable record, rather than simply forwarding more supplier files.

CreLink's documentation review support covers technical specifications and documents, terms clarification, quotation support, and supplier communication. Bring the current offer, product brief, and supporting files so the review can focus on the decision you need to make.

Before approving the order, send CreLink your quotation and unresolved requirements. The immediate goal is a clearer purchasing record: what you are ordering, what the price includes, and what still needs an answer.
